For Program Managers: Campaign & Partner Management

This guide provides affiliate and program managers with a complete workflow for creating campaigns, managing partner relationships, and handling payouts.

Who This Guide Is For

This guide is for the hands-on managers of your partner program. If you're an Affiliate Manager, Program Manager, or anyone responsible for launching offers, managing partner relationships, and tracking performance, this is your playbook. We'll cover the complete operational cycle, from creating a new campaign to paying your partners for their success.

Key Terms As a manager, you'll be working with these terms daily. Understanding them is key to running your program effectively. Base Destination URL: The primary website link where a user is sent after clicking a Partner's tracking link (e.g., your company's product page).
Payout & Revenue: This is the core financial model of an Offer. The Payout is the amount you pay your Partner for a conversion. The Revenue is the amount your company earns from the Advertiser for that same conversion. The difference is your profit.
Tracking Link: The unique URL generated by Everflow that you give to a Partner. It's how we credit them for the clicks and conversions they drive.
Conversion: The desired action a user takes after clicking a tracking link, such as making a purchase, filling out a form, or installing an app.
Invoice: A summary of all the approved conversions a Partner has generated in a given period, used to process their payment.
1 Building Your First Campaign Everything starts with the Offer. This is the product or service you want your partners to promote. This section walks through creating the campaign structure and defining its financial terms. 1 Understanding the Core Structure In Everflow, every campaign consists of three connected parts. Think of it like a simple sentence: The Advertiser is who the campaign is for (e.g., Nike). The Offer is what is being promoted (e.g., a 20% off sale on running shoes). The Partner is who is doing the promotion (e.g., a popular fitness blogger). You must have an Advertiser in the system before you can create an Offer for them. For a deeper dive into this structure, see: this article 2 Creating an Offer This is where you define the specific details of your campaign. Navigate to Offers > Add Offer. The most critical fields to start are: Name: Give your offer a clear, descriptive name (e.g., "Q4 Holiday Sale - US"). Advertiser: Select the Advertiser from the dropdown menu. Status: Set it to Active if you want it to be live immediately, or Pending if it's not ready for traffic. Base Destination URL: Paste the full link to the landing page where users should be sent. Click Add to save your new Offer. For a full guide on all Offer settings, including targeting and caps, see: this article 3 Setting Payouts and Revenue After creating the Offer, you must define the financials. This tells the system how much to pay your partners and how much revenue to record. On the Offer page, scroll down to the Revenue & Payout card and click Edit. Revenue: Choose the model (e.g., CPA - Cost Per Action) and enter the amount you earn from the advertiser per conversion (e.g., $25). Payout: Choose the model and enter the amount you will pay your partner per conversion (e.g., $20). Note: The system uses these values to calculate your profit margin automatically in all reports. To learn more about different pricing models (Revshare, CPC, etc.), see: this article 2 Onboarding and Equipping Your Partners Once your Offer is live, the next step is to get your partners set up and give them the tools they need to start promoting it. 1 Adding a New Partner You can add partners to your network manually, which is perfect for when you've just recruited a new influencer or affiliate. Navigate to Partners > Add Partner. Fill in their Company name and contact information. Set their Status to Active. This is required for them to be able to log in to the Partner Portal and pull tracking links. Click Add. They are now officially part of your program. For a guide on customizing the Partner sign-up form for public applications, see: this article 2 Generating Partner Tracking Links This is one of the most common tasks you'll perform. Each partner needs their own unique link for every offer they promote. Navigate to the Offer you want the partner to promote (Offers > Manage > Click on the Offer Name). Select the Tracking Links tab. Choose the Partner from the dropdown menu. The system will instantly generate their unique Tracking Link. Click the copy icon to grab the link and send it to your partner. Pro-Tip: Always confirm the partner is using the exact link provided. Any modification can break tracking. To learn about adding Sub IDs and other advanced tracking parameters, see: this article 3 Communicating with Your Partners You can send announcements, offer updates, and newsletters to your partners directly from Everflow using the Communication Hub. Navigate to Communication > Communication Hub. Click [+ New Message]. You can choose to send an email to All Partners, partners promoting a specific offer, or partners with a certain tag. Compose your message and click Send. This is a powerful way to keep your partners engaged and informed. For a complete guide on using the Communication Hub, see: this article 3 Managing Performance and Payouts With campaigns running and partners driving traffic, the final step in the cycle is to monitor results, analyze data, and ensure your partners get paid accurately and on time. 1 Monitoring Daily Performance The Performance Report is your command center for understanding what's happening in real-time. Navigate to Reporting > Performance. Use the date filter to select the time frame you want to analyze (e.g., Today, This Week). Key columns to watch are Clicks, Conversions, CVR (Conversion Rate), Payout, Revenue, and Profit. You can use the Filters to drill down and see the performance of a specific Offer or Partner. For a deep dive into reporting and analytics, see: this article 2 Generating and Approving Invoices At the end of each payment cycle, you'll generate invoices to determine how much you owe each partner. Navigate to Partner > Invoices. Click Generate Invoices. Select the Date Range for the pay period and choose the Partners you want to include. Once generated, you can review each invoice, approve them, and then mark them as paid once you've sent the funds outside of Everflow (e.g., via bank transfer or PayPal). For a step-by-step guide on the complete invoicing workflow, see: this article 3 An Introduction to Everflow Pay For businesses looking to streamline their payment process, Everflow Pay is a powerful add-on that automates partner payouts directly from the platform. It handles currency conversions, tax forms, and direct deposits, saving you hours of manual work. If you find yourself spending too much time on manual invoicing, this is the perfect next step.
