Fixing Accounting Connection Errors In Everflow Pay

The four connection-level errors, what causes each one, and the step-by-step reconnect process to fix them.

Overview

When Everflow Pay can’t communicate with your accounting software, you have a connection error. A connection error means the entire integration is down, and all syncs are blocked until you fix it. This is different from a sync error, which only affects individual payees.

Important A connection error blocks all syncs for every payee. No Bills or Bill Payments will be created in your accounting software while a connection error is active. Fix connection errors immediately to avoid a backlog.

This article covers the four types of connection errors you may encounter, what causes each one, and how to resolve them.

How To Spot A Connection Error

When a connection error occurs, you’ll see alerts in two places at once:

  • Dashboard — a full-width red banner at the top of the page, plus the integration card switches to a failed state
  • Integration Overview — an “Integration Error” modal appears automatically when you navigate to MANAGE → Accounting Integration

Both show the error type, a plain-language description, and a Reconnect button.

The Four Connection Errors

Every connection error falls into one of four categories. Here’s a quick overview — click any card below for the full cause and fix.

Invalid Credentials Token expired or revoked — Everflow Pay can no longer access your accounting software. No Reconnect and re-authorize
Connection Lost A network or API disruption between Everflow Pay and your accounting software. Possibly Wait, then reconnect if it persists
Connection Not Found The integration record has been deleted or can no longer be located. No Reconnect and complete full re-authorization
Integration Disabled The integration has been turned off entirely. No Reconnect and re-enable

The Reconnect Flow

Every connection error is resolved through the same reconnect flow. When you click Reconnect (from the Dashboard banner or the Integration Overview modal), Everflow Pay opens the authorization screen for your accounting software. Log in, approve access, and the connection is restored.

Once re-authorized, queued syncs begin processing automatically — no manual retrigger needed.

QuickBooks Online

Log in with your Intuit credentials and approve. QBO tokens refresh automatically in the background, so Invalid Credentials errors are relatively rare.

Xero

Log in with your Xero credentials and approve. If you have multiple Xero organizations, make sure you select the correct one during re-authorization.

NetSuite

Re-authorization may require additional steps. Because NetSuite uses token-based authentication, verify that the app you created during initial setup is still active in your NetSuite admin dashboard before reconnecting. If the reconnect flow doesn’t resolve the error, that’s usually the cause.

What Happens To Payments During An Outage

  • All syncs pause — No Bills or Bill Payments are created for any Payee while the connection is down.
  • Approved payments queue — If your team continues approving payments during the outage, those payments are not lost. They queue and sync automatically once the connection is restored.
  • The Dashboard reflects the error state until the connection is fixed.

Preventing Connection Errors

  • Don’t revoke Everflow Pay’s access in your accounting software’s app or settings — this immediately invalidates the OAuth token
  • Check after password changes — changing your accounting software password can break the existing token. Visit the Integration Overview page to verify the connection is still healthy.
  • Keep your subscription active — an expired or suspended accounting software account will drop the connection
  • Coordinate with your team — if multiple people manage your accounting software, make sure everyone knows that removing connected apps affects the Everflow Pay integration for your entire organization
  • NetSuite: keep app credentials active — if the app created during initial setup is deactivated or deleted in NetSuite, the connection breaks
