Overview

The new Communication Hub provides an integrated platform for Direct Messaging and Emailing with your Partners, Network Team, and Advertisers.

Plus, you can send branded emails or share information about Offers your Partners can promote, all within a single convenient section.


Dashboard View

Assuming you have all the necessary Permissions, you will see the Communication Hub and its 7 sections and subsections:

Creating Email Messages

To access the Communication Hub, navigate to the left-hand menu and select "Communication Hub" under the "Tools" section.

The "Create Email Message" section allows you to:

  1. Send General Emails

    • Compose and send personalized emails to your Partners, Advertisers, or team members.

  2. Send Offer Details Emails

    • Share specific information about Offers with your Partners via email.

  3. Use Saved Templates

    • Send emails based on previously created and saved templates for consistency and efficiency.

Follow the steps below to learn how to send general emails, Offer detailed emails, or save templates for future use.


General Messages

Step 1: Send General Message

You can send a branded message (with your chosen Network logo at the top) or start from scratch (without the logo) with our different theme options.

But we’ll cover each customization option one by one.

Fill out the following required fields:

  1. Subject

    • Enter the subject line for your email.

  2. Message

    • Customize content using available tools:

  • Undo & Redo Actions

  • Blank Theme, Logo Theme, or Branded Theme (your selected brand colors, etc.)

  • Format text as Heading 1, Normal text, Quote, Code Block, etc.

  • Change Text Color, Bold or Italicize text

  • Underline, Strikethrough, code, etc.

  • Align text

  • Create a list

  • Decrease / Increase Indent

  • Insert a Link, Image, Emoji, Button or Divider

  • Add Macros (Example: {first_name} - recipient first name.)

Note: Unsubscribe link is added automatically, along with a link to manage one's notification settings on Everflow.

LIST OF MACROS

NOTE: The list of macros will differ depending on the recipient and the sender. Not all macros are available for your setup and selected Audience.

  • {first_name}: This macro is replaced with the recipient's first name.

  • {last_name}: This macro is replaced with the recipient's last name.

  • {email}: This macro is replaced with the recipient's email address.

  • {company}: This macro is replaced with the name of the network, Partner, or Advertiser.

  • {advertiser_id}: This macro is replaced with the unique identifier of the Advertiser.

  • {affiliate_id}: This macro is replaced with the unique identifier of the Partner.

  • {affiliate_referral_url}: This macro is replaced with the referral URL provided by the Partner.

  • {account_manager_first_name}: This macro is replaced with the first name of the account manager assigned to the recipient.

  • {account_manager_last_name}: This macro is replaced with the last name of the account manager assigned to the recipient.

  • {account_manager_email}: This macro is replaced with the email address of the account manager assigned to the recipient.

  • {account_manager_im_software}: This macro is replaced with the name of the instant messaging software used by the account manager assigned to the recipient.

  • {account_manager_im_identifier}: This macro is replaced with the account manager's identifier or username on the instant messaging software specified by {account_manager_im_software}.

  • {website_url}: This macro is replaced with the URL of the company's website.

  • {activation_link}: This macro is replaced with a unique activation link or URL that the recipient can use to activate their account or perform a specific action.

Step 2: Build your Audience

  • The audience list determines who will receive your email, based on the conditions you set. You can create a new audience or use an existing one.

  • To build a new audience, click "+Add Audience Group" and choose from the following options:

    • Network

    • Partner

    • Advertiser

  • After selecting your audience group, set up an Audience Rule to include or exclude recipients based on specific conditions. For example:

    • All

    • Created (within a specified time interval)

    • From the following list (select one or more users to include or exclude)

    • Has logged in between (specific time interval)

    • Having any of the following roles (role-based filtering)

To segment the Audience, you can add Audience Rules and corresponding Conditions. Here, you can Include and Exclude various Audience Rule Conditions. The following Conditions are available for each group:

Network Team Members:

  • All

  • Created Between

  • From the Following List

  • Has Logged In Between

  • Has Any of the Following Roles

Partners:

  • All

  • Can Run Traffic on All of These Offers

  • Can Run Traffic on Any of These Offers

  • Created Between

  • Based on Reporting Data

  • From the Following List

  • Has Logged In Between

  • Any of These Account Executives

  • Any of These Billing Frequencies

  • Any of These Labels

  • Any of These Partner Managers

  • Any of These Traffic Sources

  • Status

  • Is Set Up to Receive Payment

Advertisers:

  • All

  • Created Between

  • From the Following List

  • Has Logged In Between

  • Has Any of These Account Managers

  • Has Any of These Billing Frequencies

  • Has Any of These Labels

Note:

When multiple rules are added to one group, the rules will have an AND operator, meaning that the recipients added to the list will need to match every rule within the group.

The current recipient list is displayed in the right panel. You can use this to search and verify that the correct people are set to receive the message based on the rules you've configured.

If multiple groups are added, each group has an OR operator, meaning that the recipients added to the list will include all emails that match any of the groups:

Step 3: Review and Send

  • This step allows you to preview the content that each recipient will receive, as well as review your audience list. You can select individual recipients to see what they will receive.

  • You can then choose to:

    • Save the message as a draft.

    • Send the message immediately.

    • Schedule the message for a future date and time.

Additional Options:

  • Save Audience Rules (enter a name to save the audience rule for future use)

  • Save as Template (enter a name to save the entire message as a template - this option, however, does NOT save the Audience Rules. Templates only save the actual message and the Subject Line)

Schedule:

  • Select the date and time zone for when you want the message to be sent.

  • Same additional options as above (Save Audience Rules, Save as Template).

Send Now:

  • Send your message immediately.

  • Same additional options as above (Save Audience Rules, Save as Template).

To create an Audience without creating a message first:

  • Navigate to "Top Audiences."

  • Click "+ Audience" to create a new rule, or "See All" to view your saved rules.

  • From the hamburger menu next to an audience, you can:

    • Send General Message (opens the "Create Email Message" window)

    • Preview Recipients

    • Edit the audience rule

    • Export Recipients (CSV file)

    • Delete the audience rule

*Top Audiences - Audiences most used in the past 100 days.


Offer Details Message

Note: Offer details can only be sent to Partners in your selected Audience.

You can include specific Offer information in your direct messages to Partners. Here's how:

  • Navigate to "Direct Messages" > "Offer Details" and select the "Share Offer" option.

  • Choose one or more Offers you want to share with your Partners, then click "Next".

  • Select the recipients for your message. Recipients are the group of users who will receive the direct message containing the Offer details.

  • Create a custom "Offer Content" section by adding text, links, macros, and other custom elements. You can use macros like {offer_description}, {Offer_id}, and other Offer-related placeholders to dynamically insert an Offer.

    (Note: These details will be repeated for every Offer selected in previous steps)

  • Enter a subject line and select a theme if you want to use one.

  • Optionally, schedule the message for a specific date and time.

  • Write the overall content for the message body, separate from the "Offer Content" section you created earlier (Note: This will only appear once).

Note: To comply with anti-spam regulations in various parts of the world, two links are automatically included at the bottom of every email:

  1. An unsubscribe link

  2. A link to manage your notification settings on Everflow

You can add an additional unsubscribe link within your message body using the {unsub_link} macro if desired, but this does not affect the automatic links at the bottom of the email.

Once you've completed these steps, you can review and send your message containing the Offer details to the selected recipients.


Top Audiences

The Top Audiences section displays the three most frequently utilized audiences over the past 100 days.

This section allows you to create New Audiences and access the Manage Audiences page by clicking the "See All" button, which redirects you to the comprehensive Manage Audiences page.

Within the Top Audiences section, the Table Actions menu provides several convenient options:

  • Send a General Message: Initiate the Create Message flow with the selected Audience's rules pre-populated, streamlining the process of sending a General Message to that Audience.

  • Send an Offer Details Message: Similar to the previous option, but tailored specifically for creating an Offer Details Message with the selected Audience's rules pre-built.

  • Preview the Current Recipients: Unveil a modal window that showcases the current list of recipients belonging to the selected Audience.

  • Edit the Audience: Navigate to the Edit Audience page, empowering you to modify the rules and settings that define the selected Audience.

  • Export the list as a CSV: Obtain a CSV file containing the list of recipients within the selected Audience for further analysis or integration.

  • Delete: Permanently remove the selected Audience from your list.

Audience Details Page

  • To learn more about a certain Audience, simply click on the Audience Name.

  • This action will direct you to the Audience Details page, which provides a comprehensive overview of the selected Audience.

On this page, you'll find General Information (such as ID, Date Created, Date Last Modified), the Audience Groups and their corresponding rules, and a list of Recipients Potentially in this Audience.

Note: The term "Recipients Potentially in Your Audience" signifies that while these recipients belong to the Audience based on the defined rules, some factors may affect their inclusion:

  1. Recipients may have adjusted their preferences in the Notifications settings under Communication Hub Email (from Network), potentially opting out of certain message types.

  2. Recipients may not qualify for specific Offers, which could exclude them from particular communications.

  3. Users have the ability to manually exclude potential audience recipients by unchecking the box next to their email address in the right pane.

These factors can result in some potential recipients not receiving certain communications despite being part of the defined Audience.

Manage Audiences

Clicking the "See All" button at the top right corner of the Communication Dashboard's Top Audiences section will redirect you to the Manage Audiences page. This page offers a comprehensive view of all your Audiences, complete with their Names, Audience Group(s), Rules, Date Created, and other pertinent information.

Akin to the Top Audiences section, the Manage Audiences page features a Table Actions menu with the following options - [CLICK HERE]


Most Used Templates

*Templates most used in the past 100 days.

You can view all your saved email templates in one place, ranked by usage frequency. Click "+Template" to create a new template or press "See All" to view your entire list of saved templates.

From the hamburger menu next to each template, you can:

  • Use Template to load the template into the message composer

  • Preview Template to view the template content

  • Edit the template

  • Delete the template

Note: Your existing email Templates from Direct Message won't be transferred automatically. Please use our new, user-friendly builder to recreate them. Rest assured, your previous templates will still be accessible from Direct Message.


Automated System Emails

Automated System Emails are responses automatically generated and sent by the system in response to specific actions taken within the platform.

Note: The Automated System Email Templates have been enhanced. Any previous customizations made to your email templates will not transfer automatically. Please review the new default system emails and modify them as needed before enabling them.

You can Enable or Disable the Automated Messages using toggle on the far right.

Additionally, you have options to:

  • Preview: see how the message looks

  • Edit: make changes as needed

  • View Details: quick Preview with an ability to edit, Modification History - logs of any changes, General information about the message.

Note:

Automated System Emails are not visible to everyone. You need to have specific permissions to access them.

These emails can be enabled or disabled in the “Communication Hub” section under Control Center - Accounts > Roles.

The reason for this is that different roles may have varying requirements for access to Automated System Emails. For instance, an Account role might not need access to these emails, unlike an Affiliate Manager role responsible for managing external communication.

Note: You can Set Partners / Advertisers managers as the 'Reply-To' address for outgoing emails. Enabling this function ensures that any replies from recipients will be directed to their account managers. To do that, navigate to Control Center - Platform Configurations - Global Setting - Edit > Set Partners / Advertisers managers as the 'Reply-To' address for outgoing emails.


Message Drafts

Here, you can view all email messages that you have saved as drafts but not sent yet.

To review all your drafts, click "See All."

From the hamburger menu next to each draft, you can:

  • Edit the draft

  • Preview the draft content

  • Delete the draft

  • Send Again to load the draft into the message composer

  • Send Now to immediately send the draft email


Scheduled

This section displays a list of email messages that you have scheduled to be sent at a future date and time. These are messages that you have fully composed, configured the audience, and chosen a scheduled send time instead of sending immediately.

In this section, you can view upcoming scheduled messages and take actions such as:

  • Edit the draft

  • Preview the draft content

  • Preview recipients

  • Delete the draft

  • Pause Message

  • Send Now

  • Reschedule

This section allows you to plan and prepare your communications in advance while maintaining control over making any last-minute changes before the scheduled send time.


Sent

The "Sent" section provides a log of email messages that you have successfully sent out recently. This could include messages sent immediately as well as those that were scheduled for a specific date and time.

In this section, you can:

  • Preview: Review the content, audience, and send time of your recent messages

  • View Delivery Logs: Check for any messages that may have failed to send properly

  • Delete the sent message

  • Send Again: Optionally re-send a recent message to the same or a different audience

💡Keeping a record of your recently sent messages can be useful for tracking your communication activities, identifying any issues that may have occurred during the send process, and easily resending or following up on previous messages when needed.💡

Additionally, you will see right away if your Message was successfully sent.

By clicking on the colored bar, you will be able to see a detailed breakdown or every message (For example: who got the message and when or the reason why they could not get it - Error message)
